Workplace Reality™ may use commercial artificial-intelligence APIs to process workplace submissions and generate reports or other outputs.
Under the commercial API terms used by EGS, information submitted through those APIs is not used by the AI provider to train its general-purpose models by default. Providers may retain or process information for limited periods for purposes such as providing the service, maintaining security, preventing abuse, or complying with law.
EGS does not provide a public list of every technology provider used to operate Workplace Reality™, and providers may change as our technology and business evolve.

These technologies may transmit device, browser, usage, or interaction information to the companies that provide them.
Depending on where you live and the laws applicable to EGS, certain advertising-related uses of these technologies may be treated as a “sale,” “sharing,” targeted advertising, or similar regulated activity even where EGS does not receive money in exchange for personal information.
Where required by applicable law, EGS will provide any required choices or opt-out mechanisms.
5. When We May Disclose Information
EGS may disclose information in the following circumstances:
Companies That Provide Services to EGS
We may provide information to companies that process information on our behalf or provide technology and business services necessary to operate Workplace Reality™.
Legal and Safety Reasons
We may disclose information where reasonably necessary to:
- comply with applicable law or valid legal process;
- respond to a subpoena, court order, warrant, or lawful governmental request;
- investigate fraud, security incidents, or unlawful activity;
- enforce our agreements;
- establish, exercise, or defend legal claims; or
- protect the rights, safety, security, or property of EGS, our users, or others.
Where legally permitted and reasonably practicable, EGS may notify an affected user before providing information in response to legal process.
Business Transactions
Information may be transferred or disclosed as part of a merger, acquisition, financing, sale, restructuring, bankruptcy, or similar business transaction.
At Your Direction
We may disclose information where you direct or authorize us to do so.
6. Employer or Third-Party Payment
An employer or other third party may pay for or reimburse an individual’s Workplace Reality™ purchase.
Payment or reimbursement does not, by itself, give that employer or third party access to the individual’s:
- Workplace Reality™ submissions;
- reports;
- account information;
- workplace scenarios;
- analyses;
- communications with EGS; or
- other information associated with the individual’s use of Workplace Reality™.
If an employer or organization purchases organizational or enterprise access directly from EGS, information rights relating to that arrangement will be governed by the applicable organizational agreement and disclosures.

We may use that information to:
- understand workplace patterns and trends;
- improve Workplace Reality™;
- develop or improve other EGS products;
- conduct research or analysis;
- create educational content;
- evaluate product performance; and
- support business planning.
EGS may use, publish, commercialize, or create derivative insights from aggregated or de-identified information so long as the information is not presented in a manner that reasonably identifies an individual user.
EGS may use identifiable names, images, likenesses, testimonials, or identifiable user stories where the user has authorized that use.
8. Data Retention
EGS retains personal information for as long as reasonably necessary to:
- provide Workplace Reality™;
- maintain user accounts;
- maintain business, payment, and transaction records;
- provide customer support;
- maintain system security;
- investigate misuse or fraud;
- resolve disputes;
- enforce agreements;
- comply with applicable law; and
- establish, exercise, or defend legal rights.
Different types of information may be retained for different periods.
Information may be retained longer where reasonably necessary for legal holds, litigation, security investigations, chargebacks, regulatory obligations, or similar purposes.
EGS may retain aggregated or de-identified information for longer periods because it is no longer maintained in a form intended to identify an individual user.
9. Security
EGS uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, acquisition, loss, misuse, alteration, or disclosure.
No online system or method of electronic storage can guarantee absolute security.
Users are responsible for protecting their login credentials and should notify EGS if they believe their account has been compromised.
